1. Scope

This policy explains how Tbyan Translation Company processes personal data and documents provided by clients or their representatives when requesting translation services or contacting us.

2. Data We May Process

• Name, mobile number, email address, and contact information.
• Request details, requested service, instructions, and correspondence.
• Documents and files submitted for translation, which may by their nature contain identity, medical, legal, educational, financial, or other private information.
• Billing information required to issue invoices and bank-transfer receipts when used.

3. Purposes of Processing

We process data only as necessary to receive, assess and quote a request; perform, review, certify, and deliver the translation; communicate about the service; issue invoices; meet applicable legal obligations; and protect rights and legitimate interests connected with the service.

4. Sharing of Data

To the extent necessary to provide the service, we may share personal data and documents with professional service providers and contractors working for Tbyan under its instructions and subject to confidentiality and data-protection requirements, for service delivery, review, and quality assurance. We do not share data for third-party marketing.

5. Communication Channels and Technical Providers

Data may be processed through the company’s official email, WhatsApp, and technical service providers required to operate the website, receive requests, and store files privately and securely. Their use is limited to what is necessary to provide the service under applicable arrangements and requirements.

6. Payments and Billing

Payments are currently made by bank transfer and we may request a transfer receipt. If an electronic payment gateway is introduced later, payment data may be processed by the relevant payment provider. Tbyan does not intend to store payment-card details themselves in its systems.

7. Retention

Documents and data are retained only for as long as necessary to perform the service and related purposes, after which they are securely deleted or destroyed according to their nature unless a legal or judicial basis requires longer retention. Files uploaded through the website are retained for no more than 30 days unless a legal or judicial basis requires otherwise. The company’s own commercial and accounting records are retained for the periods required by applicable law, including ten years where the Commercial Books Law applies.

8. Authority of the Requester

By submitting data or documents, the requester represents that they have legal capacity and the authority or authorization required to provide the documents and request the service for themselves or on behalf of another person.

9. Data Subject Rights

Requests to access, correct, delete, or otherwise exercise applicable statutory rights may be submitted to Support@tbyan.sa, subject to the requirements applicable to the request.

10. Information Security

We apply appropriate organizational and technical safeguards to protect data and documents against unauthorized access, use, or disclosure, and limit access to personnel whose work requires it.

This policy may be updated when necessary. The version published on the website is the current authoritative version.
